A long feature list can make two very different systems look similar. A better starting point is the work your team needs to complete: who does it, what information they use and what happens next. That context turns a software conversation into a useful business decision.
Start with one complete workflow
Pick a familiar process, such as a counter sale, an employee leave request or a production job. Write down the trigger, each step, the person responsible and the record created. Include the awkward cases: a returned product, an incorrect attendance entry or a material shortage. These exceptions often reveal more than the ideal scenario.
Separate essentials from preferences
Create a short list of requirements that must work at launch. Keep optional improvements in a second list. For each essential requirement, describe an outcome you can demonstrate rather than a broad label. “A manager can review a leave request and the employee can see the result” is easier to evaluate than “advanced HR features.”
Bring representative examples to the demo
Use sample or anonymized records rather than confidential customer or employee information. Ask to see your selected workflow from beginning to end. Look at how users enter data, correct a mistake, find a record and review a report. Record anything that needs configuration or additional development.
Agree what implementation includes
Ask how your data will be prepared, who will set up the initial records and which people need access. Confirm the relevant modules, reports, integrations and review milestones in the proposal. Keep a written list of assumptions, especially when an existing system needs to exchange information with the new one.
Make the next step small and specific
Choose one next action: a focused demo, a requirements session or a review of your existing data structure. You do not need to solve every future requirement in the first meeting. You do need a clear picture of the initial scope and the questions still waiting for an answer.
